1Who we are

Hookvane is a sole trader business at 11 Castle Glen Manor, Dungannon BT71 6YG, Northern Ireland, United Kingdom. We are the controller of the personal data described here. Contact: [email protected].

2What we collect and why

  • Orders and questions: the order page does not send or store anything itself. When you press send, it opens an email to us in your own email app with the details you typed (your name, business, email, product link and message). We receive it only if you send that email.
  • Enquiries and clients: your name, email, business details and our correspondence, so we can reply, provide our services and keep account records. Lawful bases: contract, legitimate interests, and legal obligation for invoicing records.
  • Outreach: if we contacted you first, we found your business contact details on your public website, listing or social profile. We use them under legitimate interests to offer relevant business services. Reply "no thanks" and we add you to a suppression list and stop.
  • Free first looks: to make a free first look we use product photos you have published on your website or shop page. We use product images only, never photos of people, and we process them on AI image tools to make the sample ads. We don't use anything you haven't published.
  • Client materials: for paying clients, the brand assets you send are processed on third-party AI generation platforms only to produce your deliverables, with your permission under our terms. Those platforms may keep inputs under their own terms, so never send us confidential material or your customers' personal data.
  • Website projects: the business details, text and photos you send, and the details needed to register your domain and hosting in your name. You are the controller for any data your own website collects from its visitors; we help you set up its privacy notice.
  • Introductions: if a client introduces you to us, we receive your name and contact details from them, with your OK. We use them only to get in touch about our services. Tell us to stop and we will.

3Cookies and tracking

This site sets no cookies and runs no analytics or tracking scripts. Our videos and images are hosted with the site itself. Like any website host, our hosting provider (Cloudflare) processes basic technical data such as IP addresses to deliver and protect the site.

4Who receives data

Service providers acting for us: website hosting (Cloudflare), email (Google Workspace), payment processing (Stripe; we never see full card details) and AI production platforms for first looks and client materials as described above.

5International transfers

Some of these providers, including AI platforms, process data outside the UK, including in the United States. Where personal data is transferred, we rely on UK adequacy regulations or recognised safeguards such as the UK International Data Transfer Agreement. We keep what we send to a minimum: product images, brand assets and briefs, never customer databases.

6How long we keep it

  • Outreach prospects who never reply: deleted within 90 days of last contact.
  • Orders and questions that don't go ahead: up to 2 years.
  • Client files and correspondence: the length of the work plus 12 months.
  • Invoicing records: 6 years, as the law requires.
  • Suppression list: kept indefinitely, because it is how we honour opt-outs.

7Your rights

You can ask for access to, correction, deletion or a copy of your data, ask us to restrict or stop using it, and withdraw consent where we rely on it. Email [email protected] and we will reply within one month. You can also complain to the Information Commissioner's Office (ico.org.uk).
